The Create User automated event automatically creates a user. The User will be made when specific requirements you have set are met.

Adding a Create User Automated Event

1
Click the Automated Events tab on the Status to which you want to create the user in.
2
Drag and drop the Create User automated event into the blank space on the right.

Create User
Select a User Type from the User Type dropdown box e.g do you want the Create User function to create an internal user, client, internal admin, etc.
If you want the user to be allocated to the task, choose a task relationship from the Task Relationship drop-down box e.g case owner, client, etc. If you want to create the User from this task, but do not want the user to be allocated to this task, leave this field blank.
In the User First Name box, select a question from the Forms&Actions tab.
In the Phone Number box, select a question from the Forms&Actions tab e.g this question would ideally be Phone Number. The answer to this question will be used to create a user and their profile.
In the Address box, select a question from the Forms&Actions tab.
In the Client Organisation Name box, select a question from the Forms&Actions tab. The answers to these questions will be used to create the user and their profile.
Check the Email Password Link? checkbox if you want the user to receive a password link via email when they are created as a user.
Check the Business Hours Only? checkbox if you want the User to be created during business hours only.
Determine the time the event will trigger using the Time boxes.
Check the Fire Event based on question answered? box if you want a question(s) to trigger the creation of the User. Checking this box will then display fields for you to add any questions and specify any answers.
In the Time Type box choose rules about when the User will be created:
  • After Status Change/Questions Matched: Based on the amount of time in this status/after questions matched.
  • After Task Created: Based on the date the task was created.
  • After/Before Question: Based on date and date/time questions.
Choose a Date/Datetime Question, If you selected After/Before Question as the Time Type. Note: this question must have the question type date or datetime to appear as a Date/Datetime Question option in the dropdown.
If the User should only be created after coming from a specific status, enter this status in the Only Fire After Status box.
Check the Is One Time? checkbox if you do not want the User to be created more than once, even if it is placed back into this status again.
Check the Should this event trigger when created as a child task? checkbox if you want the User to be created when the workflow is created as a child task.
