How to use the Search Form

  • Click on the SwiftCase logo located on the top left of the page. This will take you to the Dashboard.
  • At the bottom of the page, there is a ‘Search’ drop-down.

  • Go to the left-hand menu and click on ‘Tasks’.
  • From the drop-down menu, select ‘Tasks’. This will take you to the Dashboard.
  • At the bottom of the page there is a ‘Search’ drop-down.
Search Form
  • The Reference box: You can use the ‘Reference’ box to find any tasks/workflows you are looking for. Enter the Reference number of the task you want to search for in the ‘Reference’ box. This value is displayed after you have successfully created a task and you can find it by clicking on a Task and viewing the information displayed about the task at the bottom of the Dashboard page.
  • The Generic search box: You can use the ‘Generic Search’ box, to find any tasks/workflows you are looking for using keywords e.g. you would search ‘Expense Claim’ and any Expense Claim workflows will be displayed at the bottom of the page.
  • The Show other User’s Task checkbox: Check the ‘Show other User’s Tasks’ box if you want the search to display other User’s tasks and not just your own.
  • The Show Hidden Tasks checkbox: Check the ‘Show Hidden Tasks’ box if you want the search to display tasks that have been deleted or cancelled.
  • The R.A.G. box: You can use the ‘R.A.G.’ (Red, Amber, or Green) box to search for tasks based on their R.A.G. status e.g. if you select ‘Green’ any workflows that have a Green status will be displayed at the bottom of the page.
  • The Task Date Created box: To search for a task based on the date it was created, enter the relevant dates into the ‘Task Date Created’ ‘From’ and ‘To’ boxes. If you leave the ‘To’ box blank, the system will display all the tasks created on and after the date entered into the ‘From’ box. If you want to search for just the task created on a specific date, enter that same date into both the ‘To’ and ‘From’ boxes.
  • The Case Date Created box: To search for a case based on the date it was created, enter the relevant dates into the ‘Case Date Created’ ‘From’ and ‘To’ boxes.
  • The Date Completed box: To search for a Task based on the date it was completed.
  • The Task box: To search for a task based on the task, select the task you are looking for from the ‘Task’ drop-down box. You can narrow down the search further by adding the ‘status(es)’ of the task, these ‘Status(es)’ will be subject to the task you selected.
  • The Notes box: To search for a Task based on the notes it has attached to it, enter the associated notes into the ‘Notes’ box provided.
  • The Has One of Flag(s) box: To search for a Task based on a Flag it has, select any Flag(s) the workflow has from the ‘Has One of Flag(s)’ drop-down box.
  • The Does Not Have Flag(s) box: To search for a Task based on a Flag(s) it does not have, select any Flag(s) the workflow does not have from the ‘Does Not Have Flag(s)’ drop-down box.
  • The Has all Flag(s) box: To search for a Task based on a Flag it has, select any Flag(s) the workflow has from the ‘Has All Flag(s)’ drop-down box.

The search result will be displayed at the bottom of the page under the search form in this format.
